QuadReal Property Group Limited Partnership (“QuadReal”, “we” or “us”) is committed to maintaining your privacy. We take careful measures to ensure that your personal information is kept confidential, safe, and secure, and is used only in accordance with this Privacy Policy or as otherwise consented to by you.

 

Consistent with applicable privacy laws, “Personal Information” means information about an identifiable individual. QuadReal collects your Personal Information to provide you with our products and services, which include but are not limited to, providing you with information about our properties, giving you access to our platforms (QuadReal Connect, QuadReal+ and QuadReal+ Home), tailoring the website to your needs, leasing, managing and safeguarding our properties (“QuadReal Products and Services”).

 

For the purposes of this Privacy Policy, the term “Website” means quadreal.com and all of its related property webpages and websites (including, without limitation, any mobile optimized website), and the term “Mobile Application” means any mobile application that links to this Privacy Policy. This Privacy Policy does not apply to any third party websites or mobile applications, even if such third party websites or mobile applications are linked to and from the Website or Mobile Application or used in association with the QuadReal Products and Services.

 

This Privacy Policy describes how QuadReal collects, protects, uses and discloses Personal Information that is collected by QuadReal or provided by you as you use the Website, the Mobile Application and the QuadReal Products and Services.

Revisions to this Privacy Policy

QuadReal may at any time update this Privacy Policy and post such revisions on the Website and Mobile Application. Such changes will take effect immediately upon posting. Your continued use of the Website, Mobile Application, or QuadReal Products and Services after such revisions will constitute your acceptance to the revised Privacy Policy. You should periodically revisit the Privacy Policy to ensure your continued agreement.

Application of This Privacy Policy

This Privacy Policy applies to Personal Information collected by or supplied to QuadReal to provide you with the QuadReal Products and Services.  

 

This Privacy Policy does not apply to our collection, use, or disclosure of:

 

  • publicly available information such as a person’s name, address, telephone number, or email, when listed in a public directory; or 
  • business contact information, including the name, title, business address or telephone number of an employee of an organization, where we use it to communicate with you in relation to your employment, business, or profession. 
Collection of Information

The Personal Information we collect will vary depending on how you interact with us, but may include:

 

  • name, email, address and telephone number; 
  • Personal Information that you provide to us via your resident portal account, including country of residence and/or other registration or application information; 
  • Personal Information that you provide to us when you apply to rent one of our suites or apply to a job with us, including year of birth, driver’s license number, property ownership status, mortgage/rent payment and balance, social insurance number, employment information/history, reference information, income and banking information;  
  • Personal Information that you provide to us regarding your tenancy, including names of residents, emergency contact information, vehicle information including license plate numbers, special needs of owners (for fire evacuation, security and accessibility), billing information, transaction history, and bank account number; 
  • Personal Information you provide to us when you visit QuadReal offices or properties, check in at a concierge desk, attend one of our events, sign up for a contest, make a service request (either online or over the phone) or contact our customer service;  
  • images, movements, actions (such as date and time of entry/exit), or other identifiable information about our tenants and visitors captured by our security and access control systems, as well as video monitoring in the common areas of our properties; 
  • if you use our online web portal to pre-register a visitor, the visitor’s name, email address, and company affiliation of the person;  
  • location information from your mobile device; and 
  • other information collected automatically when you visit or use our Website or Mobile Application as described in the Information Collected Automatically section below. 

Generally, we collect Personal Information directly from you, but we may also collect Personal Information from other sources, such as our affiliated companies (including QuadReal Property Group Limited Partnership), retailers, consumer reporting agencies, government agencies, insurance providers and others. For example:

 

  • we collect credit information from credit reporting agencies if you apply to rent one of our suites or agree to be a co-signor or guarantor of an applicant;  
  • if you are an applicant for employment, we may obtain information about you from government agencies; and 
  • we also may receive information about you from other sources, such as public databases, joint marketing partners, third-party service centers, and social media platforms.
 

 

We limit the collection of Personal Information to that which is necessary for the purposes identified to you including the following: 

 

  • to provide you with the QuadReal Products and Services; 
  • to process your application for tenancy, and related activities such as arranging suite viewings;  
  • to facilitate your lease with us or other tenancy interactions, such as administering your suite services and managing move in/out dates; 
  • to process payment or transaction; 
  • to process your job application; 
  • to monitor building and suite performance, including delivering any services requested by you;  
  • to manage building security and access; 
  • to send you communications you have opted-in to receive; 
  • to respond to your questions and comments; 
  • to respond to your request for information regarding the QuadReal Products and Services; 
  • to improve our QuadReal Products and Services, develop and promote new products and services and to analyze and improve the safety and security of our QuadReal Products and Services; 
  • to maintain our programs, accounts and records; 
  • to conduct research;  
  • to detect and prevent fraud or misuse of our QuadReal Products and Services;  
  • to verify your eligibility to create an account on the Mobile Application; 
  • to perform analytics and understand your experience of the Website and Mobile Application; 
  • to troubleshoot technical problems with the Website, Mobile Application and the QuadReal platforms and to improve the Website, Mobile Application and the QuadReal platforms; 
  • to enforce the Terms of Use of the Website and Mobile Application; 
  • to meet any legal or regulatory requirements; 
  • with your consent to conduct marketing, including promotional activities; 
  • as otherwise described to you when the Personal Information is collected; and 
  • to take any other action required or permitted by law.

If you use the digital access card feature within our Mobile Application, where available, we or our service provider will collect location information from your device. This information is collected when your device is near a card reader and will be collected even if the Mobile Application is not in use.  Location information is only used to determine your proximity to the card reader to facilitate your entry or exit into the space. You can choose not to share your location information at any time by turning off location services through your device settings. However, if you turn off location services, you will not be able to use the digital access card feature. 

Use and Disclosure of Personal Information

We may transfer Personal Information as outlined above under “Collection of Personal Information to service providers, affiliates and business partners who perform services on our behalf, such as data hosting and processing, analytics, marketing, information technology and information security, targeted advertising, and similar services. In sharing Personal Information with these thirdparties, we take reasonable contractual and other measures to protect the Personal Information, specifically to ensure the thirdparties use the Personal Information only for the purposes for which we disclose it to them, and to process it with the same standards as set out in this Privacy Policy. 

We may also disclose your Personal Information: 

 

  • to credit reporting agencies or collection agencies, government institutions, or insurance providers in order to process your lease or other tenancy interactions; 
  • to social media account providers, if you connect your social media account with a QuadReal account;  
  • to enforce the Terms of Use of the Website or Mobile Application;  
  • to protect and defend the rights and properties of QuadReal;  
  • to act in urgent circumstances to protect the safety or security of the public or users of the QuadReal Products and Services; 
  • to a buyer or other successor in the event of a divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Information held by us about our customers and users is among the assets transferred;  
  • to a buyer in a business transaction, for the purposes of their due diligence investigations. If the business transaction is completed, the parties to the transaction may use and disclose the Personal Information for carrying on the business or activity that was the object of the transaction, in accordance with privacy legislation; and 
  • if required to do so by law or legal process or if we are otherwise requested by any law enforcement officer or agency having demonstrated their right to access the Personal Information. 

We do not use or disclose your Personal Information for purposes that are not identified in this Privacy Policy or at the time of collection, except with your consent or as otherwise required or permitted by law. QuadReal does not sell, rent or share its tenant lists with third parties for marketing purposes.

Information Collected Automatically

When you visit the Website or use the Mobile Application, we may automatically collect certain Personal Information using cookies or similar technologies. A “cookie” is a small text file, stored locally on a user’s device by a website they visit, that enables the website to recognize the user across pages and visits. A “pixel tag” or “web beacon” is a single pixel sized image placed on a website that is similarly used to track user interactions with a website.  

Most browsers allow you to manage how cookies are set and used as you are browsing, and to clear cookies and browsing data. You should review the settings on the web browser you use to access the Website.

Understanding and Improving the Website and Mobile Application

We use tools and services provided by Google Analytics and other service providers to help us better understand how users interact with the Website and Mobile Application.  

In the case of the Website, we set cookies provided by Google and other service providers that collect information about how you use and navigate the Website (i.e. how long you spend on each page, your interactions with specific elements of each page, how you scroll through each page), your approximate geographic location, and information about your device and browser (i.e. the brand and category of device, as well as your language settings). In the case of the Mobile Application, we generate and assign a unique identifier provided by Google that is similar to a cookie which collects information about your installation and uninstallation of the Mobile Application, your usage of the Mobile Application (i.e. how often you launch the Mobile Application and how long you use it for, your interactions with in-app messages and notifications), your approximate geographic location, and information about your device (i.e. brand, category and device model, as well as your language settings). None of this information can be used to directly identify you. You can also opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-On.

Advertising and Marketing

We may use cookies and similar technologies provided to us by Google, Meta and other advertisement channels to collect information such as your interactions with the Website (i.e. page views, the time you spend on the Website, button clicks, information about any forms you complete), the time and date that you interact with the Website, the urls of websites from which you navigated to the Website, IP address, browser and device information (i.e. browser type, operating system, category of device), as well as information about whether you interacted with online advertising before visiting the Website. We use this information to deliver and gauge the effectiveness of personalized online advertising and marketing campaigns. You can opt-out of targeted advertising by visiting the Network Advertising Initiative or the Digital Advertising Association of Canada websites.

If you use Facebook or Instagram, you may adjust your marketing and advertising preferences directly in your Facebook or Instagram account settings. Security and Preferences

We also use cookies to manage incoming traffic to the Website and help us protect it from malicious activity, as well as to store your language preferences on the Website. 

Security and Retention of Personal Information

QuadReal complies with industry practices and has implemented reasonable administrative, physical and technical measures to protect your Personal Information against loss or theft, and unauthorized access, use or disclosure. We also apply these safeguards when we destroy and dispose your Personal Information in order to prevent unauthorized parties from gaining access to your Personal Information.  

 

We only keep Personal Information as long as necessary to carry out the purpose(s) for which such information was collected or for such longer period as may be required by applicable laws and regulations. Your consent to such purpose(s) remains valid after termination of our relationship with you.  

 

We and our third party service providers may process or store information received from you outside of Québec or Canada. Accordingly, your Personal Information may be subject to the applicable governing laws and accessible by foreign law enforcement, regulatory bodies or other authorities.

Third Party Providers

The Website contains links to third party Websites (the “Linked Sites”) that are not controlled or operated by QuadReal. The Linked Sites are maintained by third parties who have their own privacy policies and their own terms and conditions of use. This Privacy Policy does not apply to any of the Linked Sites and QuadReal is not responsible for any Personal Information disclosed by virtue of those Linked Sites or for the privacy practices of any operators or sponsors of the Linked Sites. To determine how your Personal Information will be treated when accessing or using the Linked Sites, you must read the privacy policy, if any, that applies to each of the Linked Sites.

 

We may partner with third party vendors to facilitate their provision of products and services to you. Any Personal Information that you provide to third party vendors or that we provide to third party vendors at your direction is dealt with in accordance with the privacy policies adopted by each of those vendors. Individuals are encouraged to review the privacy policies maintained by each of those vendors to understand how their Personal Information will be used by those entities to process requests.

Accuracy, Accessing and Correcting your Personal Information

By law, you have the right to request access to and to correct the Personal Information that we hold about you. You can request correction of your Personal Information by notifying QuadReal of any changes to such information. You are responsible for ensuring that all of your Personal Information provided through QuadReal Products and Services is accurate, reliable and complete. 

 

If your Personal Information is processed in Québec, and provided this does not raise serious practical difficulties, you can request to have your Personal Information collected from you, in computerized form, and transferred to any person or organization that is authorized by law to collect such information. In Québec, you may also request to have your Personal Information deleted if you believe we hold it beyond what is necessary for the purposes for which you provided it.  

 

When you request access, correction, deletion or transfer of your Personal Information, you must do so in writing. We may then request specific information from you to help us confirm your identity. Applicable law may allow or require us to refuse your request. If that is the case, we will inform you of the reasons why, subject to any legal or regulatory restrictions.

To withdraw your consent, if applicable, contact us as set out below. Please note that if you withdraw your consent, we may not be able to provide you with the QuadReal Products and Services.

Minors

The Website is intended for general audiences but is not to be used by individuals under 18 years old (“Minors”). We do not knowingly collect Personal Information from Minors. If you become aware that a Minor has provided us with Personal Information without your consent, please contact us at the email address below. If we become aware that a Minor has provided us with Personal Information without parental consent, we take steps to remove such information from our database.
